Plain-words changes in your WordPress care plans
For agencies and freelancers who look after WordPress sites on a care plan: how to let clients ask for changes in plain words, under your own name, and what it costs you per site.
Most care-plan requests are small: new opening hours, a price, a menu link, a line of text on the home page. Sarcio is a WordPress plugin that lets the people on the site ask for those in their own words, see the change on a private preview of their own site, and apply it. You decide who applies what, your brand is on every screen the client sees, and nothing goes live until someone applies it.
What your clients get
- Ask in plain words. Sarcio → Assistant in wp-admin takes a request such as a new phone number in the footer, a product on sale or a link in the main menu, and makes it through WordPress itself, as the signed-in user, so it can only change what that account can.
- See it first. Changes go onto a preview of the site that only that browser sees, shown beside the chat. Apply changes makes them live and Discard forgets them.
- Undo. Recent changes lists everything that was applied, each with an Undo button.
- Schedule. A change can be set for a date and time, with a second time to change it back: a weekend sale, a holiday notice.
- Review without a login. Share for review makes a link. Anyone with it sees the preview for a week, with no WordPress login, and can pin a note on any spot of any page.
It is for building and changing the site first; when something breaks, visitors can report it from the page and Sarcio drafts the fix for you to preview and approve.
Your brand, not ours
Under Settings → Your brand in WordPress in your Sarcio dashboard, set your agency's name, logo and colour once. Every connected site picks them up within the hour: the menu, the assistant, the preview bar, the Report a bug button and the monthly report carry your name instead of ours.
Clients ask, you approve
On a client's site you can keep applying for yourself. Under Settings → Sarcio → Assistant, set Who applies changes to administrators. A client who is an editor uses the assistant up to the preview, then sees Send to my agency instead of Apply. The request, with the before and after of every change, waits under Sarcio → Requests on that site and in your Sarcio Inbox, and you are emailed. Apply it as yourself in one click, or decline it with a note.
That is the care plan in one screen: the client does the asking and sees the result, and you keep the final say.
One request, many sites
Across sites
In Sarcio, write a change once and tick the sites it is for. Each site's plugin picks it up within a few minutes and either leaves it ready to apply in that site's Requests screen or applies it and reports back. One button undoes it on every site. A site takes these only after one of its administrators ticks Take changes written for several sites under Settings → Sarcio; it is off until then.
MainWP
Install Sarcio on your MainWP dashboard and the assistant reaches every child site through MainWP's own abilities: updates waiting across the portfolio, a plugin updated on one site, a sync. Anything MainWP can dry-run is shown first and made only when you tick the box.
Safe plugin and theme updates
Before a plugin or theme update the assistant checks it suits the site's PHP and WordPress versions. Afterwards it checks the key pages, checkout included, and puts the earlier version back on its own if something broke. The Inbox tells you what happened, and you choose to keep the update, put it back, or ask for a fix.
The monthly report
Sarcio → Report shows a month of the site: every change made through the assistant, who applied it and whether it was undone, and every fix kept on the site. Add the client's email under Settings → Sarcio and it arrives on the first of each month, under your brand.
The margin, worked out
An illustration, not a promise
The assumptions
- You charge each client $100 a month per site for a care plan that includes small changes on request. That price is an assumption for this example, not a figure from any survey, and it sits at the low end: prices vary from one agency to the next, and WP Buffs, for one, publishes $89 to $359 a month per site, with unlimited website edits from $179.
- You look after 10 sites, on the Agency plan at $79 a month.
- Your own time, hosting, backups and other tools are left out: they are yours either way.
The numbers
- Care plan income: 10 sites at $100 is $1,000 a month.
- Sarcio: $79 a month for the 10 sites, which is $7.90 a site, or 7.9% of that income.
- Left over: $921 a month, before your own costs.
On the other plans
The plan price is flat, so the cost per site falls as you fill the plan. At the same $100 a site:
- Freelancer, $39 a month for 3 sites: $13 a site; 3 sites bring in $300 and leave $261.
- Agency with 5 of its 10 sites in use: $15.80 a site; 5 sites bring in $500 and leave $421.
- Agency Plus, $199 a month for 50 sites: $3.98 a site; 50 sites bring in $5,000 and leave $4,801.
Seats and AI credits
Two limits matter when you plan a care plan around it:
- Seats. Everyone who uses the assistant connects their own Sarcio account from the plugin, and each account is a seat. The plans leave room for about three people on every client site plus your team: 15 seats on Freelancer, 40 on Agency, 200 on Agency Plus. A client who only reviews through a Share for review link needs no account.
- AI credits. Each request spends a little of the plan's monthly AI credits, the same allowance fixes use, pooled across every site: 250 a month on Freelancer, 500 on Agency, 1,400 on Agency Plus. A typical request or fix uses about two credits, so roughly 125, 250 or 700 a month across all your sites, the same figure the plans give as their most drafted fixes; a long conversation uses more. Settings → Plan & billing shows the allowance, so watch it in your first month before you promise a number of changes.
What it does not do
It does not replace your developers or designers. The assistant does not write code of its own, edit theme or plugin files by hand, or rearrange Elementor and Divi layouts; on those pages it changes the words, not the layout. New features, custom code, redesigns and anything structural stay with your team, and your care plan can say so.
